This privacy notice explains how we process customer and supplier information at Oy M-Filter Ab.

3. Purpose of personal data processing and basis for processing

Oy M-Filter Ab's primary reason for maintaining customer and supplier registers is to maintain customer and supplier relationships. The maintenance of customer and supplier registers is essential for the execution of orders. The data is processed with their consent, which is deemed to be given when the customer or supplier shares/delivers their data to Oy M-Filter Ab.

Customer and supplier data may be processed by Oy M-Filter Ab for the following purposes:

  • managing, maintaining and monitoring customer and supplier relationships
  • the provision, design, manufacture and supply of products or services
  • to carry out purchases
  • processing orders, invoices and other necessary contacts

4. Data to be recorded in the register

The customer and supplier registers contain the following information:

Contact information, such as:

  • contact name, email address and phone number
  • address
  • language code
  • business ID

Customer information (order/purchase information):

  • information on products/services purchased and matters agreed separately with the customer/supplier in relation to orders and the handling of matters.

In the invoicing information section of the customer register contains information such as:

  • invoicing address
  • invoicing method
  • account number
  • payment details
  • due date
  • invoice recipient

Other information collected:

  • feedback and complaints
  • offers
  • orders (sales and purchase orders)
  • information provided by the customer and the supplier to guarantee the correctness of the delivery of the product and/or service

We also save information, such as data collected at trade fairs, from customer and supplier meetings, such as information from potential customers/suppliers. This information is saved with the consent of the customer or supplier. In addition to this, order and purchase information is saved in Oy M-Filter Ab's order/purchase management system.

5. Rights of the data subject

Registered customers or suppliers have the following rights, and to exercise of the rights please contact: sales@m-filter.fi

Oy M-Filter Ab may, if necessary, ask the data subject to specify the request in writing. The identity of the person may, if necessary, be verified before any other action is taken.

Right of inspection

The data subject has the right to inspect the data stored in the register of customers and suppliers. The data subject may, upon request, check the personal data we have stored.

Right of rectification

The data subject may request the rectification of inaccurate or incomplete data concerning him/her.

Right to object

The data subject may object to the processing of personal data if he/she believes that the personal data has been unlawfully processed.

Prohibition of direct marketing

The data subject has the right to object to the use of their data for direct marketing.

Right to erasure

The data subject has the right to request the erasure of data if the processing or storage of the data is no longer necessary. We will process the deletion request, after which we will either delete the data or provide a reasoned justification why the data cannot be deleted.

Please note that the controller may have a legal or other right not to delete the requested data. The controller is obliged to keep the accounting records for the period specified in the Accounting Act. Therefore, accounting records cannot be deleted before the expiry of the time limit.

Withdrawal of consent

If the processing of personal data concerning a data subject is based solely on consent and not, for example, on a customer or supplier relationship, the data subject may withdraw consent and request erasure of the data.

The data subject may appeal the decision to the Data Protection Ombudsman

The data subject has the right to request that we restrict the processing of the disputed data until the matter is resolved.

Right to complain

Data subjects have the right to lodge a complaint with the Data Protection Ombudsman or the data controller if they believe that we are in breach of applicable data protection law when processing their personal data.

6. Regular sources of data

Customer and supplier information is normally obtained:

  • from the customer or supplier themselves at the time the relationship is established
  • from the customer or supplier themselves via an online form

  • data may also be collected from public and commercial registers

7. Regular disclosures of data

The data will not be disclosed outside Oy M-Filter Ab without your consent. The data will also not be transferred outside the EU/EEA without separate consent.

8. Retention of data

Customer and supplier data are generally retained for as long as the customer or supplier relationship is in force and until the grounds for retention cease to exist. The retention periods shall be governed by the legislation in force at the time.

9. Processors of personal data

The customer and supplier register is processed by Oy M-Filter Ab's employees and designated outsourced partners.

The data is collected in databases or on shared disk drives protected by firewalls, passwords and other technical means. Manual data is stored behind locked doors.

10. Changes to the Privacy Policy

As we develop our business, we reserve the right to change this Privacy Policy to reflect our business and the requirements of the law.
